Create and send a quote

A quote belongs to a job. Build it line by line, send it, and your customer accepts online — no app or account needed on their side.
Before you start: link a customer if the job doesn't have one. You can technically build a quote without a customer, but sending it won't email anyone and the job's status won't move — link first and everything follows on.
Create the quote
- Open the job and find the Quotes section.
- Tap Create quote. You land on the new quote, numbered automatically (Q-000001, Q-000002, …), in Draft.
Add lines
- Tap Add line.
- Pick a tab:
- From catalogue — search your price list by code or name. Picking a product fills in the description and price.
- Custom line — type it fresh.
- Check the Description, Quantity, Unit price and Tax rate (%), then tap Add line.
While the quote is a draft you can edit, delete and reorder lines. The subtotal, tax and total work themselves out.
About the tax rate: the default comes from Settings → VAT and tax. If you're not VAT registered, lines default to 0% — turn on VAT registered in Settings if you should be charging VAT.
Before sending
- Valid until — set a date and the quote stops being acceptable after it.
- Notes — anything the customer should read alongside the price.
- Deposit (optional) — see Take a deposit on a quote. Set it now: it can't be added after sending.
Send it
- Tap Send quote.
- The dialog explains what happens: if your customer has an email on file, they get a link to accept or decline online. Confirm.
Once sent, the lines are locked. If your customer has no email on file, no email goes out — use the Customer link panel that appears after sending: copy the link and text or WhatsApp it to them yourself.
After sending
- The job moves to Quote sent.
- When the customer accepts, the quote shows Accepted by with the name they typed, and the job moves to Quote accepted. See What your customer sees.
- If they accept on the phone instead, tap Mark accepted on the quote.
- Need to change a sent quote? Create a new one on the same job and tap Set as primary — sent quotes can't be edited.
